Add publications
DTU Library harvests metadata from all the major publishers. In this way, we find many of DTU’s research publications, which we then add to DTU Orbit. Those we do not find ourselves, you can upload or send to us, and we will make sure to register them.
Add publications for registration in DTU Orbit
You add publications via your profile in DTU Orbit:
- Go to DTU Orbit, orbit.dtu.dk
- Select "Log in to DTU Orbit" at the bottom of the page to get to your DTU Orbit profile
- Select "Add content"
- Fill out the title field
- Add comments (if any) to DTU Library in the note field
- e.g. notes on confidentiality, links to a conference etc. - Attach the fulltext (pdf or Word file) and click on "Send"
Please do not upload more than one document at a time, as additional files may get lost in the transfer process.
You can also access your DTU Orbit profile via DTU Findit. Click on your name in the top right corner and select "My output in DTU Orbit".
You are also welcome to email your publication to DTU Library at orbit@dtu.dk
Only authors mentioned in the actual publication will be listed as authors in the DTU Orbit record. In other words, you are welcome to upload publications on behalf of others.
Keep your publication list up-to-date
It is your own responsibility that your publication list is correct and up-to-date. We will not always be able to assess if a publication has been peer-reviewed or not, or whether it is to be categorized as research or communication. If you want to update a DTU Orbit record, please get in touch.
When you have uploaded a file via DTU Orbit, the title of the publication will be visible under the heading “pending quick submissions” in your back-end DTU Orbit profile. Once we have added the publication, you will receive an email confirming that the publication is now visible on your publication list.
Sometimes we will come across articles that have not been published yet. In such cases, a temporary record will be created. In your back-end Orbit profile, such publications will be visible under the heading ”Research outputs waiting to be pushed to next workflow step”. Once the article has been published and we have updated the DTU Orbit record, this notification will disappear.
What to add to DTU Orbit
It is mandatory to add the following publication types to DTU Orbit:
- Journal articles
- Conference contributions
including proceedings articles, papers, abstracts and posters - Books and book chapters
- Doctoral and PhD dissertations
- Patents
- Reports
For a publication to be added to DTU Orbit, it must be evident from the article metadata that at least one of the authors is affiliated to DTU.
Non-DTU publications
Non-DTU publications (i.e. where DTU is not listed amongst the author affiliations) are not added to DTU Orbit. We recommend that researchers add such publications to ORCID and/or create a separate publication list that include non-DTU publications and add this to DTU Orbit (for instance using the CV module in DTU Orbit)

Public sector services
It is also mandatory to add publications and activities related to public sector services (da: Myndighedsbetjening). Individual DTU departments and centers may have special guidelines on what types of publications, activities, projects etc. to add to DTU Orbit. Please consult your own department for more information.
Research data
Data sets are not added to DTU Orbit. Please upload data sets to DTU Data.
However, links can be made from a DTU Orbit record to related data sets.

Master's Thesis
Master's Thesis are not registered in DTU Orbit. They are registered in DTU Learn and harvested to DTU Findit.
Who updates DTU Orbit
All publications are added to DTU Orbit by DTU Library. DTU employees may add other content types such as activities and projects to DTU Orbit. If a researcher adds a publication (e.g. an abstract) as an “attachment” to activities and projects, it will not be visible on their publication list and it will not be included in the publication statistics.
DTU Library "finds" and registers most DTU publications. You will therefore experience that you receive emails from DTU Orbit that one of your articles has been registered - even if you have not been in contact with us.
The publications that we do not find, the employees must upload or send to DTU Orbit themselves (see above). These are typically conference papers, abstracts, posters, books and book chapters, reports and the so-called post-prints

Access to full text
Everyone has access to the publication metadata in DTU Orbit (i.e. title, author names, abstract, keywords etc.).
Access to the fulltext remains closed – unless it is an Open Access publication, a post-print or publications that are not intended for publication (e.g. abstracts and posters). DTU Library will usually provide Open Access to such publications (sometimes after an embargo period). We are very careful about copyright, but Open Access guidelines are not always clear (especially when it comes to book and conference contributions). If you disagree with or feel uneasy about the Open Access status of a particular publication, you are welcome to get in touch.

Timeframe
We add uploaded publications to the database as soon as possible. Adding publications is a manual process, though, and the timeframe will vary depending on the overall workload. Please allow 7-10 working days for a publication to appear on your profile. You will receive an email when the publication has been added to DTU Orbit.
Deadline
The deadline for sending publications to DTU Library for registration is usually towards the end of December each year. Research output must be added to DTU Orbit no later than one year after the item’s publication year – otherwise it will not be included in the publication statistics.
